NorCal Race Season Volunteering

News

Now is your chance to get involved with the NorCal League as a race volunteer. It’s fun, and very rewarding, work! We are looking for volunteers for each of our positions listed below, and hope you can help keep your League races running smoothly!

We have a lot of different positions to choose from, so there’s something for everyone. Please feel free to contact me at patty@norcalmtb.org if you have any questions involving volunteering this season.

Choose one of two ways to get signed up for your favorite volunteer post:
Either to go to our volunteer page here and fill out the volunteer form, or e-mail me at patty@norcalmtb.org with the information below.

Once we get your preferences, we will send you a confirmation email with details about your tasks so you can be prepared. After that you can rest easy until you check in with us at the volunteer tent in the morning.

Here’s the info you need to either send in an email or provide via the volunteer web form:
Date(s) and shift time(s) available (we need volunteers on Saturday and Sunday each race weekend)
1-3 volunteer positions that interest you
Team name or other affiliation
Which race date and venue you are volunteering for

Once I get your choices, I will reply to your e-mail to confirm your volunteer position and time. On the race weekend, all volunteers check in at the volunteer tent. We provide lunch to full-day volunteers on Saturday and all volunteers on Sunday.

Race Venues and Dates:

February 26: Race #1, Granite Bay Challenge, Granite Bay, CA
March 18: Race #2, Central Coast Classic, Monterey, CA
April 1: Race #3, Laguna Seca Grand Prix, Monterey, CA
April 15: Race #4, Boggs Mountain Classic, Boggs, CA (or East Garrison if rained out)
May 6: Race #5, NorCal Championships, Marin, CA
May 20: State Championships, Los Olivos, CA

Saturday Positions:

VENUE SET UP (10 needed per shift)
All day: 9:00AM-4:30PM
1st shift: Saturday 9:00AM-1:00PM
2nd shift Saturday 1:00PM-4:30PM
Volunteers will be working with League staff to set-up the pit zone, feed zone, start/finish area, and parking area as well as grooming the course.

COURSE SETTING (10 needed per shift)
All day: 9:00AM-4:30PM
1st shift: Saturday 9:00AM-1:00PM
2nd shift Saturday 1:00PM-4:30PM
Bring your bike, and helmet! You’ll be marking the course with yellow signage and ribbon to ensure riders stay en route.

SATURDAY AFTERNOON REGISTRATION AT RACES (Prologues Only; 2 needed)
Saturday shift: 1:00 PM-4:00 PM
Help pass out registration packets to coaches and independent riders. Process is not very complicated but attention to detail is important. Ensure nervous racers smile at least once. Meet your fellow registrars at the volunteer tent.

Sunday Positions:

REGISTRATION AT RACES (4 needed)
Sunday shift: 7:45AM-10:30AM
Help register racers early in the morning. Process is not very complicated but attention to detail is important. Ensure nervous racers smile at least once. Meet your fellow registrars at the volunteer tent. If you have a racer in the 10:00AM wave, please let us know and you can leave at 9:45 AM.

PARKING AT RACES (2 needed)
Sunday shift 1: 7:15 AM- 9:30AM
Help direct traffic and welcome participants, communicate 1 car per team in Pit Zone before 8:00 AM, remind folks helmets required while riding. Meet your fellow parking volunteers at the volunteer tent.

ANNOUNCING ASSISTANT (3 needed)
Sunday 1st shift: 9:30AM-12:15PM
This volunteer position is a great way to get into the action at the race. Help announcers by calling in number plates on the radio or matching number plates to names.

COURSE MARSHAL (12 needed)
Sunday 1st shift: 8:30AM-11:45AM
The more the better! Course Marshals stand at key point on the course to ensure everyone is safe and going the right way. Radios are provided to communicate any problems or injuries. Hike or bike (helmet please!) to your position. So we place you appropriately on the course, please let us know if you’re able to ride your bike to your position or you’ll be on foot.

COURSE MARSHAL (12 needed)
Sunday 2nd shift: 11:00AM-2:45PM
The more the better! Course Marshals stand at key point on the course to ensure everyone is safe and going the right way. Radios are provided to communicate any problems or injuries. So we place you appropriately on the course, please let us know if you’re able to ride your bike to your position or you’ll be on foot.

ROVING COURSE MARSHAL (3 needed)
Sunday 1st shift: 8:30 AM-11:45AM
Roving Course Marshals ride the course to ensure everyone is safe and going the right way. Radios are provided to communicate any problems or injuries.

SWEEPING
Sunday 1st Wave(All Girls Categories, 4 needed): 9:00AM-12:30PM
Sunday 2nd Wave(Frosh and Soph Boys, 4 needed) 11:00AM-2:00PM
Sunday 3rd Wave(Varsity and JV Boys, 3 needed) 12:00PM-3:30PM

We need “sweepers” for each category who are willing to follow after the very last rider of that category. We want to ensure that every rider gets to the finish line in the safest way possible. This position requires bike riding, as well as the willingness to tend to any issues that may arise on the course. Please include a few category choices for your sweeping position. Please also check in at the volunteer tent at the time your shift begins to receive your number plate and attend the sweeper orientation meeting.

SCORING (4 needed)
Sunday 1st shift: 9:30AM-12:15PM
Get in on the action with this exciting job. This job entails tracking recording plate numbers as they cross the finish line each lap. A quick scoring training session led by Chief of Scoring will begin at 9:30PM sharp at the Scoring Tent.

FINISH LINE SUPPORT/ COURSE CROSSING CREW (5 needed)
Sunday 1st shift 9:30AM-12:15PM
The finish line is always the most hectic place of the racecourse. Parents and teammates are crowding around to see their riders finish and riders come through exhausted, fatigued, and in need of someone to corral them out of the way. We need stubborn yet caring volunteers to manage the finish line so we don’t get a bottleneck of people. A quick training session meeting at the Volunteer Tent will begin at 9:30AM sharp.

FINISH LINE SUPPORT/ COURSE CROSSING CREW (5 needed)
Sunday 2nd shift 12:00PM-2:45PM
The finish line is always the most hectic place of the racecourse. Parents and teammates are crowding around to see their riders finish and riders come through exhausted, fatigued, and in need of someone to corral them out of the way. We need stubborn yet caring volunteers to manage the finish line so we don’t get a bottleneck of people. A quick training session meeting at the Volunteer Tent will begin at 12:00PM sharp.

Sunday 1st Shift 9:30AM-12:00PM
We need two feed zone helpers who are responsible for to keeping water coolers full, and stocking snacks supplies, including snacks without nuts for those with allergies. Each team is allowed 3 people to assist with feeding riders. This area can get hectic and those who are not feeding, taking pictures, etc. are asked to move away from the Feed Zone. Reinforce that riders need to come to the right and are not allowed to be touched or receive mechanical assistance without consequences. Lots of action and great stories occur here.

The League has things to sell like shirts, cowbells, jerseys and jackets. They sit in boxes unless we can get some help selling them. This tent is the hub of information. Course maps, number of laps, Pit Zone layout, Venue questions, and other information is here. Chairs and EZ-Up tents provided!

VENUE TAKE DOWN (12 needed)
Sunday 2:30PM-4:00PM
As soon as the last JV or Varsity rider is off the course, we start takedown and clean up of the venue.

COURSE TAKE DOWN ON BIKES (6 needed)
Sunday 2:30PM-4:00PM
As soon as the last JV or Varsity rider is off the course, we start takedown and clean up. Volunteers who bring their bikes (and helmets!) takedown the course markings.
